Commercial Security Camera Installation: What to Plan Before You Buy a Single Camera

Here's how most commercial security camera projects start: someone breaks into a truck in the parking lot, or inventory goes missing, and suddenly there's budget for cameras. Someone searches for hardware, picks a system that looks good online, and calls the cheapest installer to hang it.

Six months later: two blind spots exactly where the incidents happen, footage that's overwritten before anyone thinks to check it, a remote viewing app nobody could log in to after the office manager left, and an installer who stopped answering the phone.

We've cleaned up enough of these systems across Toledo, Maumee, Perrysburg, and the broader tri-state region to know the pattern. The hardware is almost never the problem — the missing plan is. Here's what to figure out before you buy a single camera.

Start With Coverage Design, Not a Camera Count

The first question isn't "how many cameras do I need?" It's "what do I need to see, and how clearly?"

A proper coverage design starts with a site walk. Where are the entrances and exits? Where does cash or inventory change hands? Where are the loading docks, the dumpster corral, the parking areas, the after-hours doors? Which views need to identify a face or read a license plate, and which just need to show that something happened?

That last distinction drives everything. A camera that identifies a face at a doorway needs a much tighter field of view than one watching a parking lot for general activity — which means one wide-angle camera on a pole doesn't replace three purposeful ones, no matter what the spec sheet says.

As a rough guide: a small office of 3,000–5,000 square feet usually lands at 4–8 cameras. A 20,000-square-foot warehouse in the Toledo area typically needs 16–32 once you cover docks, aisles, exits, and perimeter. But those are starting points, not answers. The building layout, lighting, and what you're actually protecting matter more than square footage.

Low-Voltage Cabling: The Part You Live With the Longest

Cameras get replaced every five to ten years. Cabling stays in your walls and ceilings for decades — which is why it's the worst place to cut corners and the most common place people do.

Modern business security cameras are IP cameras running on Power over Ethernet (PoE): one Cat6 cable per camera carries both power and data back to a PoE switch. No separate power supplies, no wall warts in ceiling tiles. But that only works when the cabling is done right — proper runs away from electrical interference, service loops at each camera, everything labeled and tested, and a documented map of what goes where.

We regularly walk into buildings around northwest Ohio where the "cabling" is a spiderweb of unlabeled runs stapled through the ceiling by whoever was cheapest in 2015. Every camera issue becomes an archaeology project. A professional low-voltage installation costs more up front and saves multiples of that over the life of the building — especially when you add cameras, access control, wireless access points, or new network drops later, because the pathways and documentation already exist.

Retention: How Long Footage Sticks Around (and Why It Matters)

Video retention is the setting nobody thinks about until they need footage that's already gone.

Most commercial systems retain 30 days of footage as a baseline. Some industries need more: facilities handling regulated products, cannabis operations, and some insurance and compliance requirements push retention to 60 or 90 days. And here's the catch — an incident often isn't discovered until weeks after it happens. Inventory shrinkage shows up at the monthly count, not the day of the theft. If your recorder only holds 12 days because someone under-sized the storage, that footage is gone.

Retention drives storage math: camera count × resolution × frame rate × days = terabytes. A 16-camera system recording in 4K needs dramatically more storage than the same system at 1080p. This is a design decision, not an afterthought — motion-based recording, resolution choices per camera, and hybrid cloud/on-site storage can all stretch retention without blowing the budget. Decide how many days you need first, then size the hardware to match.

Remote Access: Seeing Your Building From Anywhere (Securely)

Remote camera access is one of the biggest reasons businesses upgrade — checking the shop from home, verifying an alarm before driving in at 2 a.m., watching the Fort Wayne location from the Toledo office.

Done right, remote access runs through an authenticated cloud service or VPN with individual user accounts, strong passwords, and multi-factor authentication. Done wrong, it's a camera port forwarded straight to the open internet — which is how business camera feeds end up searchable on public websites that index exposed devices. That's not hypothetical; there are entire sites dedicated to it.

Plan for the people side too: who gets access, at what level? The owner probably sees everything. A shift supervisor might see the production floor but not the office. And when someone leaves the company, their access needs to be revoked the same day — which only happens if someone actually manages user accounts (more on that below).

Cameras + Access Control: Better Together

If your building has — or will have — badge readers, keypads, or electronic door locks, plan cameras and access control as one system, not two purchases.

Here's why integration matters. Access control tells you a credential was used at a door. Cameras tell you who was actually standing there. Integrated platforms pair every door event with its video clip, so investigating an incident stops being "scrub four hours of footage" and becomes "search for badge events at the server room Tuesday night, watch the 20-second clip."

Integration also catches the stuff that slips through: doors propped open longer than they should be, a terminated employee's badge used after hours, an "access denied" event followed by someone slipping in behind the next person. Each of those is a security gap that neither system flags well on its own.

The practical advice: even if access control is a next-year project, choose a camera platform that integrates with it now. Buying two systems from two vendors that don't talk to each other is one of the most common — and most expensive — mistakes we see in commercial buildings around the tri-state area.

The Network Underneath It All

A commercial camera system is a network system. Every camera is a network device, video traffic is heavy, and the whole thing is only as reliable as the switches and cabling underneath it.

Three things a proper installation gets right:

Segmentation. Cameras belong on their own VLAN, separated from your business network. Video streams shouldn't compete with your accounting software for bandwidth, and a compromised camera — they're a favorite target for attackers — shouldn't have a path to your file server.

PoE switch capacity. Cameras draw real power, and PoE switches have a total power budget. Load 24 cameras onto a switch that can't feed them all and you get cameras that randomly drop offline — a maddening problem to troubleshoot if you don't know where to look.

Recording architecture. Footage lands on an on-site network video recorder (NVR), in the cloud, or both. On-site keeps recording if your internet drops; cloud protects footage if someone steals the recorder. For most businesses, hybrid is the right answer — and it's a decision to make during design, not after.

Why your IT provider should be in the room

This is the part traditional alarm companies get wrong: they hang cameras, but they don't manage networks. When the camera vendor and the IT provider are different companies, every dropped feed turns into finger-pointing. When one team designs the cameras, the cabling, the switches, and the network together, the system just works — and there's one number to call when it doesn't.

After Installation: Who Actually Runs This Thing?

Here's the question to ask every camera installer before you sign anything: "What happens after you leave?"

A camera system needs ongoing care. User accounts have to be added when people are hired and removed when they leave. Firmware updates have to be applied — camera vulnerabilities get discovered constantly, and unpatched cameras are a well-documented way into business networks. Recording has to be verified, because the worst time to discover a dead hard drive is the morning after a break-in. And failed cameras, cut cables, and aging drives need someone to fix them.

Most installers are project companies: they install, invoice, and move on. Support means a time-and-materials service call, if they answer at all. That's the gap a managed services provider fills. The Pre-Purchase Checklist

Before you buy hardware, you should be able to answer all of these:

1. What exactly do we need to see — and at what level of detail (general activity vs. facial identification)?

2. Where does every cable run, and who's installing it to commercial low-voltage standards?

3. How many days of footage do we need to retain, and is storage sized to match?

4. Who gets remote access, at what permission level, and how is it secured?

5. Will this integrate with access control — now or later?

6. Is the network underneath it segmented, and do the PoE switches have the power budget?

7. Who manages users, updates, monitoring, and repairs after installation?

If a vendor quotes you a camera count and a price without walking your site or asking these questions, that tells you everything about what the after-install experience will be like.
